Responsibilities
  • Coordinate contractors, builders, skip hire, access, and minor works across the property portfolio
  • Track and follow up on action points from internal and client meetings
  • Maintain internal document systems and compliance files
  • Assist with asset management and light-touch HR policy drafting
  • Chase and pay business invoices in a timely and organised manner
  • Manage the founder's calendar, diary, meetings, and travel logistics
  • Oversee personal and business car admin (insurance, MOTs, servicing)
  • Order goods and services (marketing materials, office supplies)
  • Organise and track receipts, assist with bookkeeping and VAT return preparation
  • Conduct outreach to prospective clients, developers, architects, and podcast/webinar hosts
  • Arrange meetings and maintain internal CRM or simple tracking system
  • Manage the founder’s business social channels (primarily LinkedIn)
  • Support podcast and webinar planning, scheduling, and follow-up
Requirements
  • 2+ years' experience in a support role such as Executive Assistant, Office Manager, Operations Coordinator, or similar
  • Experience juggling multiple responsibilities across admin, scheduling, and stakeholder communication
  • Confidence liaising with both internal and external contacts, including contractors, suppliers, and clients
  • Prior exposure to CRM systems, bookkeeping tools (e.g. Xero), or cloud-based document management
  • A track record of working independently and taking initiative
